Is it possible to run a report of members who have an e mail address in the Promato database but have elected not to receive e mails from the tennis club? Thanks

Use the Ad hoc list under menu Reports.  Select Club Emails, Full name, and Email1 from the Available data items.  Make Club Emails the 1st data item so that members who have opted out of receiving emails will be listed first.  You can move data items up or down by clicking on the item and then the Up or Down button.

Click the Preview button to see the list.  Note that all other members will still be listed following the opt outs.

Thanks for the feedback.  Do you mean on the Member List or somewhere else ?  If it is the member list, then perhaps we could put some indicator beside each member who is a family head. Capturing Fees should be the only time that the system will warn you that the member is not the family head.

When several members have the same email address, Promato only ever sends one email.

Thanks for the suggestion. Perhaps it would be even better to do it from the Member Groups List by allowing multiple groups to be selected for an email. I will add it to the “to do” list.

I’m sure you also know that you can always copy the text of your last email into a new email via the Get Last Message button.  Okay for a few emails but I agree a bit tiresome if you need to do many the same.

Someone’s ears must have been burning because this has just been implemented. You can now search Birth Dates in the Advanced Search by specifying a From DOB and a To DOB. If you leave the From DOB blank, the search will also include members with no date of birth.

Another new feature is that Age (in years) can now be shown in the Adhoc Report.  This would be a quick way to check that you have got the birth dates right after doing an Advanced Search.

Birth date calculations can be tricky so I hope this all helps.

You cannot cancel a fees transaction altogether but, as long as it is the most recent transaction for the member, you can Edit it and set the amount to zero. Always a good idea to add a note to explain why.

Good idea. It may be difficult to put them automatically in a suitable place because of the variety of things that Other fees are used for. However, at the very least the system could remind you that there are Other fees defined.

Sounds like that could be a great success. However, I would not set them up as a family as there will be far too many. I suggest creating a new Member Type called something like School Juniors so that you can easily identify them later in searches.

You will need to Add each member separately as per usual and then I would do a Capture Fees immediately for a zero amount to set them to Paid. The capture fees will be quick because you only need to enter the 0 amount and click Update.  This will be quicker than attaching each member to a family head.

Finally you could create one member for the association and record the total fees paid against them.  Hope that helps and let me know how you get on.

The reasoning behind this is that a members’ phone list is often made available to all members, whereas an email or address list is not. These lists are generally used by club officers only.

However, you raise an interesting point. Perhaps the lists could have a tickbox option for excluding privacy requesters. I will add this to the “wish list”.

If you want to omit members who do not have an email address then first do an Advanced Search on the member List and set a condition Email contains anything

Similarly you can get a list of members who do not have an email address by searching for Email contains nothing

Good question thanks. Backup is nightly and a separate copy is also maintained independently of the hosting company. If you have Administrator rights for your club then you will see an Export function on the Reports menu.

Find the member and display their profile. Among the function buttons at the bottom you will see a Login button. Click  it to change or remove access rights for the member. For help on the different levels of access, just click the big ? at the top right of the screen.

To see a list of all members who have access rights, click the menu option System Users.  You can also edit their login from this screen.
